This policy explains what EstateVoice ("we") collects and how we use it. EstateVoice is operated by Saurabh Tiwari (sole proprietorship, India). We keep this in plain English on purpose.
1. What we collect
- Account & onboarding info: your name, email, phone, brokerage/business details, chosen voice, call-routing preferences, business hours, listings and lead sources you share with us during setup.
- Service data: when the AI receptionist handles calls or chats for your business, we process call audio, recordings, transcripts, and the details callers share (e.g., name, phone, budget, timeline). This exists so you can see and use your own call and lead history.
- Website data: messages you send via our forms or the website chat, basic technical logs, and, on our marketing pages (and once after a purchase), ad-measurement data collected by the Meta Pixel (see section 8).
- Payments: handled by our payment processor. We never see or store your full card details. We keep the tax invoice of each payment (your name, business, billing address if you gave one, plan and amount) for as long as tax law requires.
2. How we use it
- To set up, run and improve your AI receptionist and dashboard.
- To improve EstateVoice for all customers: we learn from call transcripts and recordings with names, phone numbers and email addresses removed first. We never share one customer's data with another customer. Brokerage and Enterprise customers may opt out in their written agreement.
- To support you, bill you, and send service updates.
- We do not sell your data or your callers' data. Ever. The only data used for advertising is website-visit data from our marketing pages and one purchase event after a checkout (section 8).
3. Callers' data (your customers)
When the service answers or makes calls for your business, we process your callers' information on your behalf, to deliver the service to you. You own that lead/call data. You are responsible for complying with the call-recording, consent, and telemarketing laws that apply to your business (see our Terms).
4. Who we share it with (processors)
We use a small set of service providers strictly to run the service. Your call recordings, transcripts and lead data are held with US-based providers:
- AI voice & telephony provider — to power the phone calls and voice conversations.
- AI language provider — to help draft replies to the emails and website messages you send us.
- Email delivery provider — to send you service, confirmation and support emails.
- Cloud hosting & forms provider — to serve this website and receive form submissions.
- Payment processor — to handle checkout and billing securely; we never see or store your full card details.
These are trusted, industry-standard sub-processors, each bound to process data only to provide their service to us. A current list of our named sub-processors is available on request at hello@getestatevoice.com.
These providers process data only to provide their service to us.
5. Retention & deletion
We keep account and service data while your subscription is active so your history is available to you. After you cancel, we keep it for 90 days so you can request an export (a spreadsheet of your leads and call summaries, plus the call recordings), and then we delete it. You can also ask us to delete it sooner — email us and we'll action it within 30 days — except records we must keep for legal/tax reasons.
6. Security
Data is encrypted in transit (HTTPS) and at rest with our service providers, which are independently SOC 2 audited; EstateVoice itself does not hold its own SOC 2 report. API keys and credentials are kept server-side. A one-page security summary is available on request. No system is 100% secure, but we take reasonable measures appropriate to the service.
Breach notification: we have never had a data breach. If one ever affects your data, we will email you within 72 hours of becoming aware of it, with what happened and what we're doing about it.
7. Your rights
You can request access, correction, export, or deletion of your personal data at any time — email hello@getestatevoice.com. If you are in a region with specific privacy rights (e.g., California, EU), we honor reasonable requests consistent with those laws.
8. Cookies & advertising
We use functional storage to keep the site working (for example, your website chat session). On our marketing pages (the home page, the booking page, the demo video, the contact page and the blog) we also use the Meta Pixel to measure how our ads perform and to show our ads to people who have visited our site. When a checkout you started on our site brings you back to our onboarding page after payment, that page uses the pixel once to report the purchase: the plan, the amount and the currency, nothing else. When your payment is confirmed, our server also reports that same purchase to Meta directly, so it is counted once even when the payment doesn't bring you back to our site: the plan, the amount, the currency, the time and our own reference for the checkout, together with what the pixel in your browser would itself send (your IP address, your browser type and the pixel's own cookie identifiers), which we keep with the checkout for up to 7 days for this purpose. It is sent only if the pixel was active in your browser when you started the checkout, and never includes your name, email, phone number or payment details.
This means third parties, including Meta, may use cookies, web beacons and similar technologies to collect or receive information from our website and elsewhere on the internet, such as the pages you view, your browser and device, and actions like starting a demo, booking a call or starting checkout. They use it to provide measurement services and to target ads. We don't send Meta the contents of your chats or calls, the contact details you type into our forms, or your callers' data. Apart from that one purchase event, the pixel is not used on our customer pages (onboarding, account and billing), and it never receives your name, email, phone number or payment details.
Your choices: if your browser sends a Global Privacy Control signal, our pages don't load the Meta Pixel at all. You can also change your ad preferences in your Facebook or Instagram settings, use the industry opt-out tools at aboutads.info/choices or youronlinechoices.eu, block third-party cookies in your browser, or email us at hello@getestatevoice.com. Under some US state privacy laws this kind of ad measurement can count as "selling" or "sharing" personal information; we treat a Global Privacy Control signal or an email request as your opt-out. Visitors whose browser is set to a European time zone don't get the pixel.
9. Children
The service is for businesses and is not directed at children under 16.
10. Changes & contact
We'll post any changes here with a new "Last updated" date. Questions or requests: hello@getestatevoice.com · Contact page.
Plain-English promise
Your data powers your receptionist and your dashboard, and helps us make Hailey better with personal details removed — never sold, never shared with other customers. Questions? Just ask.
